1. Who we are

SensoryMe is run by SensoryMe Ltd, a company registered in England and Wales (company number 16898442). Our registered office is Broadwalk House, Southernhay, Exeter, EX1 1TS.

We are the data controller for your personal information. This means we decide how it is used, and we are responsible for looking after it.

We are registered with the Information Commissioner's Office (ICO), the UK's data protection regulator. Our registration number is ZC153522.

2. What information we collect

Information you give us

  • Account details: Your name and email address, and your password if you choose one. Passwords are handled securely by Google Firebase, and we cannot see them.

  • Quiz answers: Your "like me" and "not like me" answers to the sensory quizzes.

  • Your toolkit: The strategies you choose to add to your toolkit.

  • Check-ins: The date and time of each check-in, the regulation level you choose, and the prompts you use.

  • Messages to us: Anything you tell us when you email us.

  • Newsletter choice: Whether you said yes to our newsletter.

Information collected when you pay

Information collected automatically

If you buy a paid plan, our payment provider Stripe collects your card details and billing information. We never see or store your full card number. Stripe tells us your name, email, plan, payment dates and amounts, and the last 4 digits and expiry date of your card.

  • Analytics: general information about how the app is used, such as which pages are viewed and which buttons are pressed, along with basic device and browser information. This does not identify you. See section 7.

  • Technical information: when you visit sensoryme.app, our hosting provider records basic technical information, such as your IP address and browser type. This helps keep the website secure and working.

What we do not collect

  • We do not ask for or record any diagnosis.

  • We do not collect your location, contacts, photos or any data from wearable devices.

  • We do not score, label or diagnose you.

3. Health information

Your quiz answers, toolkit and check-ins describe how your senses and body work, and how you feel at different times. Under data protection law, this is likely to count as health information, which is a "special category" of personal data that needs extra protection. We treat all of it this way.

We only store this information if you give your explicit consent, by ticking a box when you sign up. The box explains that we will store your quiz answers and check-ins to provide your toolkit and check-in prompts.

We use this information to:

  • show you the strategies most likely to be relevant to you

  • hide check-in prompts that do not apply to you

  • show you your check-in history

We will only use your answers to choose partner products if you give a separate, optional consent (see section 5).

Your answers are only used to filter pre-written content. We do not use artificial intelligence, scoring or automated decisions that have legal or similarly important effects on you.

Withdrawing your consent

You can withdraw your consent at any time by emailing [email protected]. If you do, we will delete your quiz answers and check-ins. You can still use SensoryMe and keep your toolkit, but the app will show all strategies and prompts without personalising them for you, you will not see partner products, and you will no longer have a check-in history. Withdrawing consent does not affect anything we did with your information before you withdrew it.

4. How we use your information, and why

Data protection law says we must have a valid reason (called a "lawful basis") for each way we use your information. Here is what we do, and why.

  • Create and run your account, and log you in: Contract: we need it to provide SensoryMe to you.

  • Store and use your quiz answers, toolkit and check-ins to provide your toolkit and check-in prompts: Contract, together with your explicit consent for health information.

  • Use your quiz answers to choose which partner products to show you: Explicit consent: only if you tick the optional box. You can switch it off at any time in your profile.

  • Take payments, and send emails about your account, such as login links, trial reminders, pause reminders, renewal reminders and receipts: Contract, and legal obligation where the law requires us to send reminders.

  • Keep payment and tax records: Legal obligation: the law requires us to keep them.

  • Send you our newsletter: Consent: only if you tick the box. You can unsubscribe at any time.

  • Understand how the app is used, so we can improve it (analytics): Legitimate interests: improving SensoryMe. Our analytics do not identify you.

  • Keep the app and website secure, and prevent fraud: Legitimate interests: protecting you and SensoryMe.

  • Keep a record of founding members, so we can honour their price: Legitimate interests and contract: keeping the promise we made to them.

  • Reply to your messages and complaints: Legitimate interests: helping you.

5. Partner products

Some strategies in the app can show products from partner businesses that might help. These are always clearly labelled, and we may earn a small fee if you buy through our link.

  • Seeing partner products is optional. When you sign up, there is a separate box you can tick if you would like us to use your sensory answers to show you matching partner products. It is not ticked unless you tick it.

  • If you do not tick the box, you will not see any partner products. Everything else in SensoryMe works in exactly the same way.

  • You can change your mind at any time by switching partner products on or off in your profile.

  • This matching happens inside SensoryMe. We never share your answers, your name, your email or any other personal information with partners.

  • If you click a partner link, the partner will know that you came from SensoryMe. Anything you do on their website is covered by their own privacy policy.

6. Who we share your information with

We use a small number of trusted service providers to help us run SensoryMe. They only receive the information they need to provide their service, and they are not permitted to use it for any other purpose.

These include:

  • Google Firebase — app hosting, authentication, and data storage

  • Umami — privacy-friendly analytics

  • Stripe — payment processing

  • Beehiiv — email newsletter delivery

  • Netlify — website hosting

We also use Sanity to manage some of our content.

Information stored outside the UK

We may also disclose your information if required to do so by law, or if we believe such action is necessary to protect our rights or the rights of others, or in connection with a merger, acquisition, or sale of assets.

  • Some of our service providers are based outside the UK, including in the United States

  • Where this happens, we make sure appropriate safeguards are in place to protect your information, such as standard contractual clauses approved by the UK authorities

7. Analytics and cookies

Analytics

We use Umami to understand how people use SensoryMe, so we can make it better. For example, it shows us which pages are used most, and where people get stuck.

  • Umami does not use cookies.

  • It does not identify you. It does not store your IP address, and it is not linked to your name, email or account.

  • It collects general information, such as which pages are viewed, which buttons are pressed, which website you came from, your browser and device type, and your country.

  • Umami data is processed in the European Union.

  • We never send your quiz answers, check-in levels or any other health information to analytics.

Cookies and similar technology

Cookies are small files stored on your device. We only use the ones SensoryMe needs to work.

  • Essential: keeping you logged in (Google Firebase). Remembers that you are logged in, so you do not need to log in every time. Can I turn it off? No. The app cannot work without it.

  • Essential: payments (Stripe). Helps make payments secure and prevent fraud when you pay. Can I turn it off? No. Payments cannot work safely without it.

We do not use analytics cookies or advertising cookies. The law does not require consent for essential cookies, so we do not show a cookie banner.

8. How long we keep your information

  • Account details (paid and lifetime accounts): Until you delete your account.

  • Account details (free accounts): Until you delete your account, or until your account has not been used for 12 months. We will email you before deleting it.

  • Toolkit and check-ins (paid users): For as long as you have a paid plan.

  • Check-ins older than 7 days (free users): Hidden, then deleted 12 months after they are hidden. They come back if you upgrade within that time.

  • Extra strategies and older check-ins after a paid plan ends: Hidden for 12 months in case you come back, then deleted.

  • During a pause: Kept safely and hidden until your paid plan restarts.

  • After you delete your account: A 30-day grace period in case you change your mind, then everything is deleted.

  • Payment records: 6 years, because the law requires us to keep them for tax purposes.

  • Founding member list (email address only): For as long as we run the app, so we can honour founding member prices.

  • Newsletter: Until you unsubscribe.

  • Emails you send us: Up to 2 years after we have finished dealing with them.

9. Keeping your information safe

  • Your data is encrypted when it travels between your device and our systems, and when it is stored.

  • Only people at SensoryMe who need access to your information to do their job can see it.

  • We choose service providers with strong security.

  • If something ever goes wrong with your data that could put you at risk, we will tell you and the ICO, as the law requires.

10. Your rights

You have the right to:

  • see the information we hold about you

  • correct anything that is wrong

  • delete your information

  • download your information in a format you can take elsewhere

  • object to us using your information for analytics or other legitimate interests

  • limit how we use your information in some situations

  • withdraw your consent at any time, for health information, partner products or the newsletter

To use any of these rights, email [email protected]. We will reply within one month. It is free. We may need to check it is really you before we act.

You can also:

  • delete your account in the app, or by emailing us

  • switch partner products on or off in your profile

  • unsubscribe from our newsletter using the link at the bottom of any newsletter email

Making a complaint

If you are unhappy with how we have used your information, please tell us first, and we will try to put it right.

You also have the right to complain to the Information Commissioner's Office (ICO):

11. Age

SensoryMe is only for adults aged 18 and over. We do not knowingly collect information from anyone under 18. If we find that we have, we will delete it.

12. Changes to this policy

We may update this policy, for example when we add new features. If we make an important change, we will email you before it takes effect. The date at the top shows when this policy was last updated.
